Sending users to a personalised Action Link from Wordfly emails

This article provides guidance specifically for Tessitura users who are also using Wordfly

There will often be scenarios where you require an existing or known customer to login to their Tessitura customer account in order to access a particular Action Links form or interface. However, sometimes you may want to skip this step entirely  - you can do this by using URL parameters in your Link URL in order to validate the user against an existing constituent record, rather than asking for their login credentials (this saves the user time and streamlines their experience).


For example, if you were sending email invites to known customers to attend a fundraising event, you could pass the recipient’s email address and constituent ID in the Action Link URL which may look something like this...

https://venue.action.link/rsvp?email=joe.bloggs@hotmail.com&constituentId=45689


When the user then clicks through from their email to the Action Links URL above and completes then submits their RSVP, these two parameters (email address and constituent ID) are used to validate who the user is and thus which constituent record in Tessitura to update.


If you are using Wordfly to send emails, you can automatically personalise the Action Link URL that you include in the email, dynamically populating the email address and constituent ID parameters. To do this you’ll need to add what Wordfly call ‘data fields’ to the Link URL as you add it to your email e.g….

https://venue.action.link/rsvp?email=##Email##&constituentId=##CrmSubscriberId##

Note: what you include in the URL between ## ## must be an exact match to the wording of your Wordfly data fields

Then, when you import your recipient list to Wordfly (after selecting your chosen recipients using Tessitura List Manager) and send your email, these data fields will be populated dynamically using information that you pass from the Tessitura constituent record to your Wordfly recipient list.


You can view your existing data fields available to use in your Wordfly account by heading to Subscribers > Data Fields. This is where you can also add new custom data fields - this Wordfly Support article has more info on how to do that.

Note: when you import your recipient list to Wordfly from Tessitura, you must check that the correct data you require in the Action Link URL (e.g. email address and constituent ID) is provided in your Tessitura output set and is also mapped to the relevant Wordfly data fields. This step tells Wordfly exactly where to inject the data from the constituent record. Most of the basic data fields will already be mapped for you, but if you are setting up new data fields for the first time you may need to map these.
